Conference Organizer (Online, Digital and Live Events)

Sunvalley Communication is seeking an Conference Organizer to help arranges virtual (web) conferences, webinars, and webcasts and live for our clients as well as our own educational and publishing projects.

Job Description

  • Research and identify strategic US markets
  • Assist in the financial modeling and business review for new events
  • Negotiate venue agreements
  • Create and implement timelines and production schedules
  • Build relationships with venues to understand contractual elements and best leverage existing features
  • Ensure the business runs legality and conformity to established regulations
  • Assist the Covid-19 Compliance Officer in plans and execution for events in North America and Europe
  • Support events’ supplier related needs through RFPs, data analysis, research, and identification of opportunities for supplier-related operational efficiencies
  • Act as an intermediary between events and suppliers to support and problem solve issues
  • Implement initiatives and corporate policy in the topics of risk management, personnel, sustainability and contingency planning
  • Negotiate and contract preferred supplier agreements with new preferred suppliers and renew agreements with existing suppliers
  • Track rebates and incentives
  • Work with legal to create/update PSA forms and event level service agreement forms
  • Execute within a global framework

Ideal Qualifications

  • Preferred candidates have more than 6+ years of operations experience, preferably for events
  • Exceptional analytic, project management, and relationship skills
  • Excellent negotiation skills
  • Ability to thrive in a fast paced environment
  • Acute attention to detail and organization
  • Demonstrated ability to identify cost savings opportunities and capitalize on them
  • A keen eye for potential event operations improvements
  • Excellent communication skills
  • Thorough knowledge of the Procure-to-Pay process
  • Working knowledge of Microsoft programs such as Word, Excel, PowerPoint, etc.
  • Relationship management and/or customer service experience
  • Some evening and weekend work should be expected
  • Occasional travel to events and meetings.
